The documents in the iPERMS board file contain several Social Security Numbers (SSNs) or Department of Defense Intelligence Digest (DODID) numbers. Iperms Documents
An iPERMS board file contains documents and other information. Each document is stored in a different folder, and the user may be able to view the same document in multiple folders. Each document is assigned an identifier based on its type. Documents can be stored in up to five different folders. These folders contain documents such as DD 93s and SGLV 8286s.
Documents in an OPMF board file should be current and complete. This is critical, as board members will review hundreds of documents to assess each candidate. In addition, the board will want to review the commendatory file, which contains the DA photo, ORB, and 2-1. The DA photo must be updated and accompanied by other relevant documentation.
In addition, the Army Privacy Office requires specific handling of PII. Do not upload documents containing multiple Social Security numbers or DODID numbers. Documents that contain third-party PII must be blacked out or annotated. Otherwise, the document will be deleted.
Documents in iperms with multiple SSNs or DODIDs
If a document contains multiple SSNs or DODIDs, it cannot be filed in iPERM. The Army Privacy Office requires a special procedure for handling this type of data. In iPERMS, all documents containing Social Security Numbers or DODIDs must be annotated in the upper right hand corner with the soldier’s SSN. Third party PII will be blacked out or otherwise removed.
The Army Military Human Resource Records Management (AMHRRM) regulations establish guidelines for the filing of OMPF documents and information. OMPF files are accessed by commanders at all grade levels, human resource providers, G1s, and reserve personnel action centers. In many cases, DODIDs contain the information needed to prosecute a person. DODIDs are also necessary when a person is accused of violating a law.
Documents in iperms that contain multiple Social Security Numbers (SSN)
Do not file documents in the iPERMS board file with multiple Social Security Numbers (SSNs). These documents must contain the soldier’s DOD ID number (DoD ID), which is the Army’s unique identifier. The DODID can be found in the Electronic Military Personnel Office Datastore, or the Total Officer Personnel Management Information System. Human Resources personnel are no longer permitted to write Social Security numbers in the upper right hand corner of documents. This helps reduce the risk of misuse and release of PII.
The Scan Operator will need to comment “Board or Audit” in the comment field of the document. The Scan Operator can also give a soldier’s batch number when uploading documents. This is used to keep track of the status of each batch within iPERMS.
